How to add the HubSpot integration

1. In Closely, open the left side panel menu and proceed to the Integrations tab

2. On the Integrations tab and choose "HubSpot"

3. After you choose the HubSpot integration, the window will appear where you can either create a HubSpot account or log in to your existing account


If you're already logged into your HubSpot account, you'll see the following window where you can choose your account:

Please note: on this step, you can also choose the subaccount if you have one


4. After you choose the account, the window with the permissions will appear. On this step, you can confirm all the permissions or cancel adding the HubSpot integration. To confirm adding the HubSpot integration, click on the "Connect app" button

5. After you connect the HubSpot integration with Closely, you'll be transferred to the settings of the HubSpot integration on the Integrations tab within Closely

If you close the window, you'll be transferred to the main Integrations tab. Here, you can assign the integration to be primary if you have more than one added integration


How to set up the HubSpot integration

To set up the HubSpot integration, please proceed to the Integrations tab and click on the Settings button

The new window will appear where you need to map the fields. Here you can also Pause, Delete or Resync the added integration

What is mapping?

The data from Closely will be sent to HubSpot according to the mapped fields. You'll need to map the fields for both the contacts' and companies' data. There are 2 tabs accordingly to map the data: Contacts and Companies


You need to map the "Closely" field to the corresponding field in HubSpot. All values from HubSpot will be displayed in this field


To choose the field, click on the dropdown list and choose the corresponding field to which you want to transfer the data from Closely. After the field is selected, the arrow will become green

For example, let's map the "Contact Country" value from Closely with one of HubSpot's fields. Click on the HubSpot field > choose from the dropdown list (in our case, it will be "Country/Region" field) > the arrow becomes green



You can also add a custom value to be transferred to HubSpot. It is the ability to add a hardcoded value, and this value will be transferred to the mapped field in HubSpot.
You can include an unlimited number of custom values

To add the custom value, click on the "+ Add custom value"

For example, if you add "Closely" as a custom value, then select "Record Source" as the HubSpot field, "Closely" will be transmitted as the value in the "Record Source" field for all contacts in your HubSpot account


How to delete the HubSpot integration

To delete the integration, proceed to the Integrations tab and click on the "Settings" button

The tab with the mapping will open. To delete the integration, click on the Bin icon next to the "Pause" button and confirm the deletion


After you delete the integration, you'll see the pop-up



Sending contacts to HubSpot


1. On the flow of creating a campaign

When creating a campaign, at the final stage of the process, you'll have sync options. They allow you to send contacts to HubSpot based on different criteria. You have three options to choose from:

  1. Sync All People: This option will send all contacts in the campaign to HubSpot as soon as the campaign becomes active.

  2. Sync Only Those Who Accepted the Request: This option will send only those contacts who have accepted the connection to HubSpot.

  3. Sync Only Those Who Answered: This option will send only those contacts who have responded with a message to HubSpot.



2. My Network

The integration entry point is located near the contact. Depending on whether the contact has been sent to HubSpot before or not, different options will be displayed. If the contact has not been previously sent to HubSpot, a Sync button will appear next to it.

If the contact has already been sent to HubSpot, the time of the last sync will be displayed. Additionally, hovering over the contact will provide an entry point to the contact in HubSpot, as well as the option to Resync the contact. It's important to note that contact resync is only available once an hour.

Bulk actions involve selecting a specific number of contacts, which will then activate the mass sync button. Once clicked, the selected contacts' information will be sent to HubSpot


3. Inbox

Within a separate dialogue located in the right block of the inbox, you'll find the integration entry point. If the contact has not been previously sent to HubSpot, a Sync button will be displayed.

If the contact has already been sent to HubSpot before, the sync time will be displayed along with the option to create a deal. To create a deal, you'll need to specify the deal's name and select the pipeline, stage, and owner.


4. Extension

You can manually sync the contact using our extension. To do so, you need to have the Closely Assistant extension installed in your browser, enabled and make sure that you're logged into your Closely account

After that, you can open the LinkedIn profile of the contact you want to send to HubSpot and in the Extension window, you'll see the "Push to HubSpot" button. Then you can choose whether you want to push the contact with the contact's details or not. Then click on the "Push" button

After the contact is synced, you can also create a deal in the Extension window
